"Our front desk is on the phone all day and still misses calls. We have gaps in the schedule on Tuesday, a waitlist on Saturday, and I'm nervous about putting any patient information into marketing software."
Clinic owners carry two jobs at once: caring for patients and running a small business with real privacy obligations. In Ontario, the Personal Health Information Protection Act (PHIPA) applies to most health practices. That means the usual small-business marketing playbook, with tracking pixels everywhere and patient lists uploaded to ad platforms, can get you into trouble.
The good news is that you can fill a schedule without any of that.
Where new patients slip away
- Phones at peak times. Monday mornings and lunch hours, the line is busy and new patients hang up.
- Booking that takes too long. If someone in the Glebe can't book a physio appointment online at 10 p.m., they book with the clinic that lets them.
- No-shows and late cancels. Every empty chair or treatment room is income you don't get back.
- Lapsed patients. Recall and re-care slip, especially after a staff change.
- Weak local search. Few reviews, no photos of the clinic, and services like "TMJ", "vestibular physio" or "laser hair removal" that never appear on your site.
Your year in a clinic
Health clinics have their own rhythm. January brings new benefit years and New Year goals. September fills with back-to-school dental visits and sports injuries. October to December is when patients with group benefits rush to use what is left before it resets, which makes it the busiest stretch for physio, massage, chiro and dental. Summer is slower for most clinics and busier for med-spas getting clients ready for events.
Plan your reminders to match: a polite note in October to patients who haven't booked this year usually fills the calendar better than any ad.
What good looks like
- Online booking linked to your practice software, visible on every page and on your Google profile.
- An answering setup that picks up when the desk can't. A missed-call text-back or AI receptionist books or takes a callback request, and never gives clinical advice.
- Automatic reminders and confirmations that cut no-shows, plus a recall message when patients are due.
- A page for each service you want more of, written in plain words patients actually search for, in English and, for Orléans and Gatineau patients, in French.
- Reviews requested in a way that respects privacy. Replies never confirm that someone is a patient or mention treatment.
- Advertising that follows your regulatory college's rules. Many Ontario colleges limit testimonials and before-and-after claims, so check yours before anything goes live.
Privacy built in, not bolted on
This is the part most marketing agencies skip. When we set up a clinic, we follow a few firm rules:
- No health information in marketing tools. Ad platforms, email tools and analytics never receive diagnoses, treatment types or appointment details.
- No tracking pixels on booking or intake pages. Ad tracking stays on public pages only, so a visit to "book a pelvic health assessment" is never sent to Meta or Google.
- Patient lists stay in your practice software. We don't upload them to ad platforms for targeting.
- AI tools are scoped. Any receptionist or chat agent answers general questions (hours, location, services, how to book) and hands anything clinical to your staff.
- Your office is locked down. Multi-factor sign-in on email, encrypted laptops, separate accounts for each staff member and tested backups. Our cybersecurity checklist shows the basics.
If you also see patients from Quebec, Law 25 adds its own consent and privacy-officer duties, and we plan for that too. We'll tell you plainly when something needs your privacy officer or lawyer to review.
How 1 Club does it
- Free call to understand your services, your practice software, your schedule gaps and who handles privacy at your clinic.
- Fixed-quote plan covering website, booking, reminders, local search and office systems.
- Build service pages, a fast mobile site that meets AODA accessibility standards, and an updated Google Business Profile.
- Automate reminders, recalls and missed-call text-backs using your practice software's tools where possible, so patient data stays in one place.
- Grow with local search and carefully targeted ads that use location and interests, never health data.
- Report weekly: new patient bookings, calls answered, no-show rate.
Three ways to start
- Free. Run the website checkup to see how your clinic appears on Google and in AI answers. Then use our review reply prompt, and add your own rule: never confirm someone is a patient.
- Done with you. We set up booking links, reminders and the Google profile, and train your front desk.
- Done for you. We run the website, local search, ads and IT security, with privacy rules written down and followed.
