Owners usually come to us with two feelings at once. They're tired of the messages piling up, and they're nervous about letting a robot talk to customers:
- "Half our messages come in after 8 p.m. By morning they've moved on."
- "Instagram DMs asking for the price sit for two days."
- "What if the AI makes up a price or promises something we can't do?"
- "My staff already paste client details into ChatGPT. I don't know what's safe."
Both feelings are right. An AI agent can answer in seconds, day and night. It can also embarrass you if it's thrown live without care. We build for the first and guard against the second.
What a good AI agent does
It answers the common questions (hours, service area, what's included, how to book) in seconds, in English, French or whatever language your customers write in. It only uses facts you've approved. It books into your real calendar. It knows when to stop and hand over to a person: complaints, refunds, cancellations, anything sensitive. And it logs every conversation in your CRM so nobody has to ask the customer twice.
Inside the business, the same idea becomes an assistant that knows your procedures, price book and policies, so staff stop interrupting you with the same five questions.
How we roll it out
1. Collect the real questions. We go through your past calls, emails and messages and list what people actually ask. Usually a handful of questions make up most of the volume.
2. Write the facts sheet. Prices, services, areas, policies, tone of voice. The agent answers from this and nothing else. If it doesn't know, it says so and passes the conversation to a person.
3. Draft mode first. The agent writes replies but a person approves each one before it goes out. You see exactly how it behaves with real customers, with no risk.
4. Test against real conversations. We replay past conversations and score the agent's answers side by side with what your team actually said. It only goes live when you're happy with the results.
5. Clear hand-off rules. Anything about money disputes, cancellations, complaints or health and safety goes straight to a named person, with the conversation attached.
6. Go live one channel at a time. Phone (an AI receptionist), WhatsApp, Instagram, Facebook Messenger or website chat. We start where the pain is biggest.
7. Review weekly. We read transcripts, fix wrong answers in the facts sheet, and report what the agent handled and what it passed on.
Privacy and trust
Under PIPEDA you're responsible for the personal information your agent collects, so we keep what it gathers to what it needs and store it in systems you control. If calls are recorded or transcribed, callers are told. For Quebec customers, Law 25 expects people to be told when a decision about them is made by automated processing alone, so our agents hand real decisions to a person. We also recommend the agent says plainly that it's an AI assistant. Customers mind that far less than being misled. For your own team, our prompt for an AI use policy sets out what staff may and may not paste into AI tools.
Why one team makes AI safer
An AI agent is only as safe as the systems it can reach. Because 1 Club also manages your Microsoft 365 or Google Workspace, your CRM and your security, we decide exactly what the agent can see:
- It gets its own account with only the access it needs. No shared logins, and multi-factor authentication on everything around it.
- It reads from your approved facts and writes into the CRM we built, not into someone's personal inbox.
- The people who configured your firewall and backups are the same people setting the agent's limits, so there's no gap between "the AI vendor" and "the IT company."
Three ways to start
1. Try it yourself. Take the AI readiness score to see where AI would help most. Then follow our step-by-step guide to build an AI agent that answers WhatsApp and Instagram, or set up an assistant that knows your business.
2. Done with you. We write the facts sheet and hand-off rules with you, set up the agent in draft mode, and coach your team through testing.
3. Done for you. We build, test, launch and review the agent every week, across the channels you choose.
