Enrol more students, chase fewer parents.

Tutoring centres, online academies and course creators: enrolment pages that convert, checkout that just works and follow-up that fills every term.

"Parents message us on WhatsApp at midnight, half of them never finish signing up, and every September I'm chasing payments by hand. I want to teach, not run a call centre."

Education businesses sell something people care deeply about: their child's progress, or their own career. That means long decisions, lots of questions and a big rush at the start of each term. Without good systems, owners spend those weeks answering messages instead of preparing classes.

Where enrolments slip away

  • Unanswered questions. Parents and students ask the same ten things: schedule, age group, price, teacher, trial class. Every hour without a reply loses some of them.
  • Sign-up forms that ask too much. A long form before payment, or payment on a different site, and people drop off halfway.
  • No follow-up for "maybe later." Someone attends a free trial class and hears nothing until next term.
  • Manual payments and records. Spreadsheets, e-transfers and screenshots instead of one system that knows who paid for what.
  • Hard to explain online. A great teacher with a weak website looks the same as everyone else to a parent comparing options.

Your enrolment calendar

Education runs on intakes. August and early September are the big one, as parents plan the school year. January is the second chance, with New Year goals and second-semester help. March break, summer camps and summer programmes open in February and March. Exam season in spring drives tutoring searches. Online academies that serve families abroad also follow other school calendars and religious holidays, so timing and time zones matter.

The work for each intake starts six to eight weeks early: pages updated, early-bird offers set, past families invited back first.

What good looks like

  • One clear page per programme, with ages or levels, schedule in the visitor's time zone, what a class looks like, who teaches, and the price or how to get it.
  • A free trial or placement class that's easy to book, with automatic reminders.
  • A short sign-up that collects payment at the same time. Instalment plans should be set up once and run themselves.
  • Fast answers to common questions, from a real person in office hours and an AI chat agent on WhatsApp, Instagram or your website after hours.
  • Automatic follow-up after trial classes and before each new term.
  • Respect for privacy. Collect only what you need about children, get parents' consent for photos, keep records secure, and follow CASL for any marketing email or text.

How 1 Club does it

We know this field from the inside. We built the website, checkout, CRM and automation for Thabet Platform, an online education programme, and the website and funnels for Dahan Center, a dental education provider.

  • Free call to learn your programmes, your students, your intake dates and where parents or learners get stuck today.
  • Fixed-quote plan with the pieces that matter most before your next intake.
  • Enrolment pages and checkout. Programme pages written for parents or adult learners, one smooth sign-up with payment, instalment plans and a clear thank-you page with next steps.
  • CRM and follow-up. Every enquiry, trial and enrolment in one pipeline, with reminders before classes, follow-up after trials and re-enrolment messages before each term.
  • Chat that answers. An AI agent that answers common questions on WhatsApp, Instagram and your site in the languages you teach in, and passes anything sensitive (refunds, complaints, special needs) to your team. Our AI inbox agent guide shows how it works.
  • Marketing that respects families. Real class moments (with consent), parent stories in their own words and ads timed to intake season.
  • Weekly numbers: enquiries, trials booked, enrolments, payments outstanding.

For training providers and tutoring centres with staff, we can also set up Google Workspace or Microsoft 365, shared calendars, secure student records and onboarding for new teachers.

Three ways to start

  • Free. Check how ready you are for automation with the AI readiness score, and use our website FAQ prompt to turn parents' repeat questions into a page that answers them.
  • Done with you. We set up the checkout, CRM and follow-up for your next intake, and train your coordinator to run it.
  • Done for you. We run enrolment marketing, chat, follow-up and reporting every term, and you get back to teaching.

Questions

How do I get more students for my tutoring business?

Make it easy to try: a clear programme page and a free trial or assessment that books in two clicks. Answer questions quickly, follow up after every trial, and start promoting six to eight weeks before each intake. Happy parents are your best channel, so ask them for reviews and referrals.

What is the best way to take payments for an online academy?

Take payment as part of sign-up, on the same page, with options for instalments if your programme is long. Automatic receipts and failed-payment reminders save hours every month. Avoid e-transfers and screenshots for anything beyond a handful of students.

Can an AI chatbot answer parents' questions?

Yes, for common questions like schedules, levels, prices and how to sign up, and it can do it at midnight when many parents message. It should hand refunds, complaints and anything about a child's needs to a person. Write its answers from your real FAQ so it never makes things up.

When should I advertise my courses or classes?

Six to eight weeks before each intake, with a smaller push just before classes start. For school-year programmes that means July to early September and again in December for January. Invite past students and families back first, since they convert best.

How do I collect student data safely?

Collect only what you need, store it in one secure system rather than spreadsheets and phones, and limit who can see it. Get parents' consent before using photos or videos of children. If you have families in Quebec, Law 25 adds consent and privacy duties.

Do I need a CRM for an online school?

Once you have more than a few dozen students or regular trial classes, a CRM saves real time. It tracks who enquired, who attended a trial, who paid and who needs a reminder. Without one, follow-ups and payments slip through the cracks every term.
